KEY FUNCTIONS & RESPONSIBILITIES: 1. Coordinate domestic and international travel for executives 2. Proficient computer software skills (ie, PowerPoint, word processing, MS Outlook, spreadsheets, databases, etc.) to update and maintain files in support of the CEO/President 3. Reconciles expense reports 4. Assists Executive Assistant with projects/tasks supporting the office of the CEO & President 5. Prioritizes and organizes work load to comply with deadlines 6. Performs personal assistant tasks in support of the CEO/President 7. Resolves administrative problems and inquiries 8. Performs general administrative duties such as: ordering supplies, lunches, etc 9. Coordination of routine meetings, conference calls, international calls, and any necessary presentations including the technology capabilities for such. 10. Assists with the preparation of regularly scheduled reports, staff meeting reports, contact list 11. Office management: organize general office areas (kitchenette) 12. Creates routine correspondence, reports, various forms, tables, pamphlets, etc. from rough draft, handwritten notes, or general verbal instructions and makes changes in grammar, punctuation or spelling as needed. Proofreads and edits drafts and final materials for appropriate and consistent format. 13. Receives and screens visitors and telephone calls and notifies appropriate personnel or records messages. 14. General clerical duties: Opens, sorts, prioritizes, and distributes mail. 15. Supports and adheres to policies and procedures. 16. Performs other duties as assigned through Supervisor. College or advanced education preferred. 3-5 years job-related experience required. 4. Strong domestic & international travel experience required. Concur and / or American Express travel experience preferred. 5. Proficiency in all applicable computer software programs (MS Office: Word, PowerPoint, & Excel), in particular strong calendar management skills (Outlook). 6. Ability to be resourceful, work independently and multi-task 7. Excellent written and oral communication skills and interpersonal skills; must be detail-oriented with strong organizational skills. 8. Ability to present data in effective and understandable manner. 9. Analytical ability sufficient to handle most complex administrative functions. Considerable ability to decide on and carry out appropriate course of action in office situations; to compose correspondence; to keep records and prepare reports, and to receive a minimum of detailed supervision and guidance. 10. Customer service oriented.
