Job Description:/h3:
JOB FUNCTIONS:
1. Assists CEO, CFO/CHO and CMO with administrative duties as requested.
2. Opportunity to interact and gain experience from three functions of the organization.
3. Coordinates and arranges meetings, reserves and arranges facilities and possibly caterers, issues invitations and controls administrative budgets.
4. Prepares agendas, notices, minutes and resolutions for corporate meetings.
5. Provides second set of proofreading eyes for proposals and marketing materials.
6. Interacts with Graphic Design department and manages proposal assignments and tasks.
7. Assist with executive expense reports and job cost report documentation.
8. Manages calendars and schedules appointments.
9. Assists in preparation for presentations using Powerpoint and Visio.
10. Organizes and maintains file system, and files correspondence and other records.
11. Documents client meetings and prepares internal communications to guide team actions.
12. Maintains confidentiality of all corporate, personnel and research matters.
13. Other duties as assigned.
KNOWLEDGE, SKILLS and ABILITIES
:High School diploma or equivalent required. Bachelors Degree is preferred.
:Minimum of 5 years
marketing/advertising experience; additional office experience is a plus
:Demonstrated ability to work independently and as a team.
:Must be proficient in Microsoft Office software (Word, Excel and PowerPoint)
:Must be well versed in all executive touch points, including but not limited to, HR, Finance, Sales and Marketing.
:Organizational skills : the individual possess excellent organizational skills.
:Problem solving:the individual identifies and resolves problems in a timely manner, gathers and analyzes information skillfully and maintains confidentiality
:Interpersonal skills:the individual maintains confidentiality, remains open to others ideas and exhibits willingness to try new things.
:Oral communication:the individual speaks clearly and persuasively in positive or negative situations and demonstrates group presentation skills.
:Written communication:the individual edits work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information.

Planning/organizing:the individual prioritizes and plans work activities and uses time efficiently.
:Quality control:the individual demonstrates accuracy and thoroughness and monitors own work to ensure quality.
