Job Description
This is a contract to hire.
Salary range is 45:50k
SUMMARY:
This position is responsible for planning and accommodating the space management services for the corporate real estate portfolio, comprised of all leased properties within various geographic locations throughout the country. Responsibilities include fulfilling the space requirements consistent with corporate policies and objectives; providing coordination and support for space planning activities for corporation; and planning for future space needs based on growth, changing requirements, and corporate objectives. Required to create project schedules and supporting documentation (i.e., business cases) and manage activities for special projects. Responsible for coordination and facilitation across multiple organizations and functional areas in support of facility and security needs.
RESPONSIBILITIES/TASKS:
Lead meetings with business representatives and key contacts to facilitate discussion of space requirements and leasing arrangements and obtaining information that is critical to decision:making (growth projections,
adjacencies/geographics, cost, feasibility, special needs, timing, etc.).
Conduct both short:term and long:term planning for the real estate portfolio.
Develop real estate performance standards, metrics, and benchmarks.
Document space requirements by entity based on meetings, interviews, surveys, and other data collection methodologies.
Develop and execute strategies to accommodate corporate requirements in the current portfolio and through the lease/purchase of additional space, as required.
Prepare and present site and portfolio plans and scenarios as required, requiring a thorough understanding of the business objectives and real estate strategies and interaction with diverse groups and various level of management.
Make recommendations and provide assistance on expansions, relocations, and consolidation of space.
In conjunction with others in Facilities Management and strategic planning, develop scaled projects and plans to meet business needs (example: expansion versus new space, property disposition, consolidation, etc.).
Support management of leases, landlords, and property management companies to meet business objectives.
Consult with company and corporate legal teams on complex issues and assist in their resolution.
Perform portfolio analysis and projections and conduct management reporting.
Serve as key contact for tenant and lease management arrangements to answer questions, address concerns, and conduct necessary communications and negotiations.
Conduct tenant communication and perform budget/finance and administrative functions associated with tenants, property management, leased space, and vendors tied to property management and space allocation.
Serves as liaison with other
disciplines/departments within the company to provide a team management of real estate and to monitor and continually evaluate the service needs and customer requirements.
Maintain floor plans for assigned buildings
Maximize utilization of modular furniture inventory
Ensure seamless relocations by developing project schedules and communicating with departments (voice, data, construction, ISRM, etc) regarding schedules
Assure all facility related licenses and permits are appropriate posted and maintained
Assure that all systems comply with applicable regulations, codes and industry standards
Monitor security policies and adherence to those policies
Support other teams within the Administration organization including business continuity
Escort maintenance vendors/providers conducting maintenance on Server Room equipment, copiers, printers.
Check new hire cubicle setup and provide information to IT service desk (phone jack s) as needed
Ensure hoteling cubicles contain proper equipment
